How Spend Limits and Overage Billing Work in TeamAI

Overview

TeamAI's spend limit system helps workspace owners and administrators control costs by setting maximum spending caps for usage beyond included plan credits. This is an automatic overage billing system—no manual purchases required.

Most customers bill through Stripe. Legacy Chargebee accounts use a different overage model (see bottom of this article).

What Spend Limits Are

Spend limits let you set a maximum dollar amount for extra usage beyond your plan's included credits each month. They help control costs and prevent unexpected billing overages.

Key principle: Spend limits only apply to usage beyond your included plan credits. Usage within your monthly credit allowance is covered by your subscription.

The examples below use Enterprise (200,000 credits). Your plan's included amount applies to your workspace.


How Spend Limits and Overage Billing Work

When No Spend Limit is Set

What this means: If you have no spend limit set and you use up all your included plan credits, AI features will stop working. You'll be blocked until your credits reset next month.

Simple example: Your Enterprise plan includes 200,000 credits per month. If you use all 200,000 credits and have no spend limit, you cannot use any AI features until your credits reset on your next billing date.

When a Spend Limit is Configured

What this means: You can keep using AI even after you run out of included credits. You'll be automatically charged for the extra usage (called "overage") up to the maximum amount you set as your spend limit.

Simple example:

  • Your Enterprise plan includes 200,000 credits

  • You set a $100 spend limit (maximum you want to pay for extra usage)

  • You use 300,000 credits total this month

  • First 200,000 credits: Included with your plan ✓

  • Next 100,000 credits: You're automatically charged as you use them

  • If the extra 100,000 credits cost $20, you'll see a $20 charge on your next invoice

  • You now have $80 more you can spend before hitting your $100 limit

Automatic Reset

Your spend tracking resets automatically to $0 on your billing cycle date each month.

Changes Take Effect Immediately

You can increase, decrease, or remove your spend limit at any time, and changes take effect immediately.

Overage Billing Process

Automatic Billing

Overage fees are billed automatically as you consume additional credits beyond your subscription limit. On Stripe plans, these charges appear on your next monthly invoice. You do not need to manually purchase anything—the billing happens automatically.

Real-Time Usage

Your usage beyond included credits is tracked in real time. As soon as you exceed your plan's included credits, overage billing begins automatically (provided you have a spend limit set).

Monitoring Usage

Viewing Current Spend

Check Settings → Spend Limits for real-time overage tracking. The page displays:

  • Current overage spend in dollars

  • Percent of your spend limit used

  • Progress bar and billing-period reset date

Access the Usage page for:

  • Model usage

  • Credits Used (Billing Period) - Output Token

  • Total Prompts

Configure spending thresholds on Settings → Spend Limits to receive email alerts at specified dollar amounts (for example $300 or $500). Workspace owners and admins receive alerts. Each threshold triggers once per billing cycle. Alerts warn you before you hit your cap; they do not block usage unless you reach 100% of your spend limit.

Who Can Configure Spend Limits

  • Stripe token-based plans (Individual, Starter, Professional, Enterprise): workspace owners and administrators can set spend limits under Settings → Spend Limits.

  • Legacy Chargebee accounts: spend limits are not available. Overage may use Add Credits instead (see Legacy Chargebee customers below).

  • Organizations on Stripe: organization owners and workspace owners/admins follow the same Spend Limits access as above.

Legacy Chargebee customers

If your workspace still uses Chargebee (not Stripe):

  • Extra usage is handled through Add Credits (manual credit boosts), not automatic overage billing like Spend Limits

  • From Settings → Billing → Manage, choose Add Credits to open Settings → Credits

  • Add Credits at the workspace level is available on Individual, Starter, and Professional plans. Enterprise orgs use Organization Admin → Billing → Add Credits

  • Spend Limits appears only on Stripe billing

When in doubt, open Settings → Billing and use Manage Plan. Stripe opens the Stripe Customer Portal; Chargebee opens the Chargebee portal.

Frequently Asked Questions

Do I need to purchase additional credits?

No. On Stripe plans, set a spend limit and overage bills automatically as you use credits. There is no separate purchase transaction. Legacy Chargebee customers may use Add Credits in Settings → Billing → Manage instead.

Do unused credits roll over?

No, unused credits do not roll over to the next billing cycle. All credits reset at the beginning of each new billing period.

When are overage fees billed?

On Stripe plans, overage fees accrue when you exceed included credits and have a spend limit set. Charges appear on your next regular Stripe invoice. You are not charged upfront. Legacy Chargebee customers follow Chargebee invoice timing.

Can I change my spend limit mid-month?

Yes, you can increase, decrease, or remove your limit at any time. Changes take effect immediately.

Where can I see my current spend?

Settings → Spend Limits shows dollar spend, percent used, and a progress bar. Settings → Billing → Plan & Usage shows credit usage vs your plan. The Usage page has detailed breakdowns by model and user.

What payment options does TeamAI support?

TeamAI accepts most major credit cards through Stripe. Invoice or purchase order payments are not currently supported. Legacy Chargebee customers may still use the Chargebee billing portal.

Who can set spend limits?

Owners and administrators on Stripe token-based plans. Spend Limits is not available on legacy Chargebee billing.

What happens when I hit my spend limit?

When spending reaches 100% of your limit, AI features are blocked until the next billing cycle or until you increase your limit.

Is this different from purchasing addons?

Yes. The old addon system and Add Credits option were for legacy Chargebee customers. Stripe customers use Settings → Spend Limits for automatic overage billing. Add Credits does not appear on Stripe token-based plans (Individual, Starter, Professional, Enterprise).
