How Spend Limits Work in TeamAI

Learn how to set and manage monthly spending limits to control your AI usage costs and prevent unexpected billing overages.

What Are Spend Limits?

Spend limits let you set a maximum dollar amount for extra usage beyond your plan's included credits each month. They help you control costs and prevent unexpected billing overages.

Important: Spend limits only apply to usage beyond your included plan credits. For example, if your Enterprise plan includes 200,000 credits, usage within those credits is covered by your subscription β€” the spend limit only kicks in for pay-as-you-go overage beyond that.

How It Works

  • Default behavior: When you use up your included plan credits and no spend limit is set, AI features are automatically blocked. You must set a spend limit to opt-in to pay-as-you-go overage billing.

  • When a limit is set: You can continue using AI beyond your included credits up to your spend limit amount. Once your extra spending reaches 100% of the limit, AI features will be blocked until the next billing cycle.

  • Automatic reset: Your spend tracking resets to $0 automatically on your billing cycle date each month.

  • Change anytime: You can increase, decrease, or remove your spend limit at any time.

Setting a Spend Limit

For Organizations (Enterprise Plans)

  1. Go to your Organization Admin panel

  2. Click Spend Limits in the sidebar

  3. Click Set Limit (or Change Limit if one is already set)

  4. Enter your desired monthly limit in dollars

  5. Click Save

The organization spend limit applies to all workspaces within your organization. Usage across all child workspaces counts toward the organization's limit.

For Standalone Workspaces

  1. Go to your Workspace Settings

  2. Click Spend Limits in the sidebar

  3. Click Set Limit (or Change Limit if one is already set)

  4. Enter your desired monthly limit in dollars

  5. Click Save

Email Notifications

You can set up custom spending thresholds to get notified before you hit your limit. This gives you time to adjust usage or increase your limit.

How to Add a Notification Threshold

  1. On the Spend Limits page, find the Email Notifications section

  2. Click + Add

  3. Enter the dollar amount at which you want to be notified (e.g., $300)

  4. Click Add

You can set multiple thresholds. For example, set alerts at $300, $400, and $500 to get progressive warnings as spending increases.

Maximum notification thresholds by plan:

  • Individual: 3 thresholds

  • Starter: 5 thresholds

  • Professional: 10 thresholds

  • Enterprise: 20 thresholds

All workspace owners and admins receive notification emails. Notifications are sent once per threshold per billing cycle β€” you won't get repeat emails for the same threshold.

Enterprise Organizations: How Spend Limits Apply

For enterprise organizations with multiple workspaces:

  • The organization-level spend limit applies across all child workspaces combined

  • Usage from every workspace counts toward the organization's total spend

  • When the organization's limit is reached, AI features are blocked across all workspaces

  • Only the organization owner can set the organization spend limit

What Happens When You Hit the Limit

When your spending reaches 100% of your limit:

  • AI chat features will be temporarily blocked

  • You'll see a message showing your current spend, your limit, and the date it resets

  • You can increase your limit immediately to continue using AI

  • Or wait for the automatic reset on your next billing cycle date

Removing a Spend Limit

To remove your spend limit entirely:

  1. Go to the Spend Limits page

  2. Click the trash icon next to the Monthly Limit

  3. Confirm the removal

Note: Removing the spend limit means AI will be blocked when you exceed your included plan credits, since there is no overage budget set. To allow overage usage, you need an active spend limit.

Does the spend limit apply to my included plan credits?

No. Your included credits (e.g., 200,000 for Enterprise) are covered by your subscription. The spend limit only controls extra pay-as-you-go usage beyond those credits.

When does my spend limit reset?
