What Are Per-Member Spend Limits?
Per-member spend limits cap how much each person in your organization can spend on AI each month. Every member gets their own limit. It is not a shared pool, so one busy person, or one agent running hard, can't use up the budget for everyone else.
Important: Per-member limits are rolling out to Enterprise organizations and aren't available on every Enterprise account yet. They work alongside your organization's Monthly Limit and Spend per Chat, which are explained in How Spend Limits Work in TeamAI.
How It Works
Each member has their own limit: If the default is $50, every member can spend up to $50. The amount is not split between people.
Three levels: You can set a default for everyone, a limit for a group, and a limit for one specific person.
All usage counts: A member's spend includes every message from the start of the month, including usage covered by your plan's included credits.
One limit across your organization: The limit covers every workspace the member uses in your organization.
Monthly reset: Spend resets automatically on your billing cycle date.
Everyone is included: Owners and admins have limits too.
Which Limit Applies to a Member
When more than one limit could apply, TeamAI uses the first one that exists, in this order:
Individual limit: a limit set for that one person. This always wins.
Group limit: the limit of a group the member belongs to. If they are in more than one group with a limit, the higher group limit applies. You can change this to the lower one (see below).
Default limit per member: the organization-wide default.
No limit: if none of the above is set, the member can spend without a personal limit.
To see where a member's limit comes from, go to the By member tab. The Group spend limit column shows the group name, or Organization default.
How to Set It Up
Who can do this: only organization owners can open the Spend Limits page. Owners and admins can create and manage groups.
Set a Default Limit for Every Member
Go to your Organization Admin panel
Click Spend Limits in the sidebar
Open the Per member tab
Under Default limit per member, enter a dollar amount
Check the line under the field. It shows how many members are already over that amount right now.
Click Save
$0 and No limit are different. Setting the limit to $0 blocks every member straight away. To go back to unlimited, click Remove limit instead.
Seeing a note that starts with "Incomplete"? Tracking started partway through the current billing period, so the spend shown is lower than the real total. A limit based on those figures may be too low.
Create a Group and Give It a Limit
First, create the group and add people:
In Organization Admin, click Groups in the sidebar
Click New group, enter a name, and click Create group
Click Members next to the group, add people (or click Add everyone), then click Done
Then give the group a limit:
Go to Spend Limits, open the Per member tab, then the By group/tier tab
Click Set limit next to the group
Enter the Monthly limit per member and click Save

Each member of the group gets the full amount. For example, a $100 limit on a group of 10 people lets each of them spend up to $100.
Set a Limit for One Person
Go to Spend Limits and open the Per member tab
Open the By member tab and find the person
Click Set limit (or Edit)
Enter an amount and click Save
An individual limit overrides any group the person is in. To take it away, open the same dialog and click Remove override.
Choose Which Group Limit Wins
If people belong to several groups, go to Spend Limits → Per member and find Multi-group spend limit under Spending defaults. Choose Higher group limit (the default) or Lower group limit. The change applies straight away.
What Members See
At 75% and 95% of their limit: a message appears above the chat box, such as "You've used 75% of your monthly limit." Members can dismiss it. It shows a percentage, not a dollar amount.
At their limit: the message changes to "You've reached your monthly spend limit." It can't be dismissed. New messages are not sent, and a response that is running when the limit is reached stops.
Their usage: the See your usage link opens Settings → Activity. The Your usage limit card shows how much they have spent, their limit, the percentage used, and when it resets.
Members are never sent to billing. Only the people who manage your organization can change a limit.
Requests for a Higher Limit
You can let members ask for more when they reach their limit. This is off by default.
Turn On Requests
Go to Spend Limits and open the Per member tab
Turn on Limit increase requests
How a Member Asks
Once a member reaches their limit, the Your usage limit card on their Activity page shows Ask for a higher limit. They don't enter an amount. You decide how much to give.
How to Respond
Go to Spend Limits and open the Per member tab
Pending requests appear at the top, showing each member's current limit, how much they have spent, and when they asked
Click Set new limit and enter an amount, or click Decline
Set new limit gives the member an individual limit. It stays in place every month until you change or remove it.
Decline leaves their limit as it is. They can't ask again for 30 days.
The member gets an email either way.
Note: you are not emailed when a new request comes in. Check the Per member tab to see pending requests.
How Per-Member Limits Work With Other Limits
Limit | What it caps | What it counts |
Monthly Limit | Your whole organization or workspace | Usage beyond your included credits |
Spend per Chat | A single conversation | All usage |
Per-member limit | One person, across your organization | All usage |
All three apply at the same time. Whichever one is reached first stops the message.
What Counts Toward a Member's Limit
Their chats, including chats with agents
Testing an agent
Work that an agent hands off to a subagent during their chats
API requests made with an API key that belongs to them
Conversations with your embedded chatbots do not count. Those use chatbot credits instead. See How to Purchase and Manage Chatbot Credits.
Frequently Asked Questions
Is a group limit shared between the people in the group?
No. Every member of the group can spend up to the group's limit on their own.
Why does a member show spend when our Monthly Limit still shows $0.00?
The Monthly Limit only counts usage beyond your included credits. Per-member limits count all usage from the first message of the month, so a member's spend goes up even while your organization is inside its included credits.
Do owners and admins have limits?
Yes. The default, group, and individual limits apply to everyone in the organization, whatever their role.
What happens when someone leaves the organization?
They are removed from their groups, and their individual limit and any pending request are removed too. If they rejoin in the same month, what they already spent still counts.
When does a member's spend reset?
On your organization's billing cycle date each month. Members can see the exact date on their Activity page.
I don't see the Per member tab. Why?
Per-member limits are rolling out to Enterprise organizations and aren't available on every Enterprise account yet. Only organization owners can open the Spend Limits page. If you're an owner and don't see the Per member tab, contact support.
