How to Make a Chat Public or Private

Written by Christopher Varner

Overview

Control who can access your chat by toggling between public and private visibility settings. This tutorial walks through configuring chat permissions at the folder level.

Learning Objectives:

  • Navigate to chat permission settings from the workspace

  • Switch between public and private chat access

  • Verify your privacy settings are applied

Prerequisites

You'll Need:

  • Access to a workspace with chat folder creation privileges

  • At least one existing chat folder

  • The chat you want to modify must be organized within a folder

Access Your Chat's Permission Settings

  1. Navigate to the left panel to view your workspace navigation menu

  2. Locate and click the folder containing your target chat

    • The chat content appears in the main panel on the right

  3. Click "Permissions" in the folder's action menu

    • This opens the permission configuration panel

Result: The permission settings panel displays with the "Share with everyone" toggle visible.

Note: The "Permissions" option appears only for folder owners or users with administrative rights.

Set Your Chat Privacy Level

  1. Toggle the "Share with everyone" switch to control visibility

    • On (public): All workspace members can view and interact with the chat

    • Off (private): Restrict access to specified individuals or groups only

  2. Click the "Confirm" button at the bottom of the permission panel

    • This applies your new privacy setting immediately

Result: A confirmation message appears, and your chat's privacy status updates in the left panel with a visibility icon change.

Tip: For private chats, add authorized users immediately after toggling off to prevent access gaps.

Best Practices

  1. Use private for sensitive discussions: Keep confidential project details, HR matters, or proprietary information in private chats with carefully managed user lists.

  2. Audit permissions quarterly: Review your private chat access lists every 90 days to remove former team members or outdated permissions.

  3. Train your team on public chat etiquette: Establish guidelines for what content belongs in public channels to maintain workspace organization.

Common Questions

Q: Can I change a public chat to private after sharing sensitive information?
A: Yes, but previously notified users may retain access through their notification history. Always set the correct privacy level before discussing confidential content.

Q: Who can see my private chats?
A: Only users explicitly added to the chat's permission list can access private chats. Workspace administrators cannot view private chat content unless specifically granted access.

Q: Will users be notified when I change a chat from private to public?
A: No automatic notification is sent. Consider announcing the change in team communications if you want members to know the chat is now accessible.

Q: Can I set different permission levels within the same private chat?
A: The current system only supports full access or no access. All permitted users have the same read/write capabilities in private chats.

Q: Where can I see which chats are public versus private?
A: The left panel displays a globe icon next to public chats and a lock icon next to private chats for quick visual identification.
