Overview of Shared & Private Folders

This article explains the difference between private and shared folders, how to browse them, and what users can expect to see after the recent chat UI update.

Prerequisites

You'll Need:

  • Access to your workspace

  • Permission to view or manage the folders in question

  • At least one saved chat or folder if you want to browse existing content

Note: Folder visibility affects what appears in `Search Chats`. If a folder is not shared with you, it will not appear in your folder list.

Understand Folder Types

Private Folders

Private folders are intended for work that should only be visible to a limited audience.

What to expect:

  • A private folder can be visible only to you

  • Some private folders may be shared with specific people

  • Chats inside private folders do not appear to users who do not have access

Result: Private folders limit visibility to a smaller set of users.


Shared folders

Shared folders are intended for work that should be visible across the workspace.

What to expect:

  • Shared folders are visible to workspace members who have access to the shared content

  • Chats inside shared folders are easier for teammates to browse from `Search Chats`

  • Shared folders support collaborative organization when multiple people need the same chat area

Result: Shared folders make it easier for multiple users to work from the same organized chat structure.


How Folders Appear in the Current UI

Recognize private and shared folder cards

  1. Navigate to `Search Chats` in the left sidebar

    • Folder cards appear near the top of the page in the `Folders` section.

  2. Look at the folder card icon

    • Private folders use a lock-style icon.

    • Shared folders use a people-style icon.

  3. Use the folder card to open that folder

    • Clicking the card updates the chat list below.

Result: You can visually distinguish private and shared folders from the folder cards on the `Search Chats` page.

Note: Private and shared folders appear together in the current `Folders` area. They are not split into separate sections on the page.


Browse Chats and Folders

Browse from `All Chats`

  1. Open `Search Chats`**

    • The page starts in `All Chats`.

  2. Review the folder cards in the `Folders` section**

    • These cards help you narrow the list before you search.

  3. Use the quick filters above the chat list**

    • Click `All` to see all accessible chats.

    • Click `Private` to focus on private content.

    • Click `Shared` to focus on chats in shared folders.

  4. Open a chat directly from the list if you already found it**

  5. You do not need to enter a folder first.

Result: You can browse broadly across accessible chats before narrowing into folders.


Browse inside a folder

  1. Click a folder card from the `Folders` section

    • The page updates to show chats for that folder.

  2. Review any subfolders shown in the folder card row

    • Subfolders appear after you enter a folder.

    • `All Chats` is the root view, not a parent folder.

    • `Private` and `Shared` are filters for the chat list, not folder containers.

  3. Use the breadcrumb above the chat list to move back

    • Click `All Chats` to return to the root view.

    • Click a parent folder in the breadcrumb to move up one level.

  4. Use the folder-specific search field if needed

    • The placeholder changes to `Search in [folder name]...`.

Result: You can browse one folder at a time and move deeper into subfolders when needed.


Important: Opening a parent folder does not automatically show every chat from its subfolders. If you do not see the chat you expect, open the relevant subfolder and continue there.


Folder Permissions and Access


Understand who can see what

  1. Private folders limit visibility

    1. If a private folder is only visible to you, other users will not see it in `Search Chats`.

  2. Shared folders broaden visibility

    1. Shared folders are intended for wider access in the workspace.

  3. Some users can manage folder permissions

    1. On folders where you have management access, the folder menu may show `Permissions`.

Result: Folder visibility controls which users can browse the folder and the chats inside it.

Note: A user may be able to see a shared folder but still have different management options depending on their access level.


Best Practices

  1. Use shared folders for team workflows: Shared folders reduce confusion when multiple people need the same chat area

  2. Use private folders for individual work: Keep early drafts, personal research, or limited-access work in private folders

  3. Teach users to start from `Search Chats`: This is the clearest way to browse chats and folders in the current UI

  4. Use folder names that make browsing obvious: Clear names make older chats easier to find later

  5. Check subfolders before assuming a chat is missing: Folder browsing is hierarchical, so chats may be one level deeper than expected

Common Questions


Where do I browse folders in the current UI?

Go to `Search Chats` in the left sidebar. Folder cards appear in the `Folders` section near the top of that page.

What is the difference between a private folder and a shared folder?

Private folders are restricted to a smaller audience, while shared folders are intended for wider workspace visibility.

Are private and shared folders shown in separate sections?

No. In the current `Search Chats` page, they appear together in the same folder card area.


Why can I not see a folder my teammate mentioned?

You may not have access to that folder, especially if it is private or only shared with specific people.


Why do I see the folder but not the chat I expected inside it?

The chat may be inside a subfolder. Open the next folder level and keep browsing there.


Can I search within a folder?

Yes. Open the folder first, then use the search field at the top of the page.


Are folders available from the left sidebar `Chats` list?

No. The main folder experience lives on the `Search Chats` page.
