Overview
Agent visibility controls who can access your AI agents. This setting is configured only during agent creation and determines whether an agent is private to you, shared with your workspace, or available across your entire organization.
Learning Objectives:
Understand visibility levels available during agent creation
Select appropriate visibility level for your agent's use case
Verify visibility settings before creating an agent
Apply best practices for agent sharing decisions
Recreate an agent if visibility needs change
Prerequisites
You'll Need:
Access to a workspace with agent creation permissions
Decision on who should access the agent (personal use vs. team collaboration)
Understanding of your organization's data sharing policies
Clear purpose for the agent (to inform visibility choice)
Important: Visibility can only be set during initial agent creation. Once created, the visibility level cannot be changed.
Access Agent Creation
Navigate to Agent Creator
Open Agents section
In left panel, click "Agents"
Agents interface loads
Initiate agent creation
View agent creation panel
Result: The agent creation panel is open and ready for configuration.
Configure Basic Agent Settings
Complete Required Fields
Create with AI
Start by describing your agent, including the suggested details, and the AI will adapt the instructions to make them easy for the AI to follow. This step can be skipped.
Result: The basic agent identity is established.
Set Agent Visibility
Choose Access Level
Define Agent Purpose:
Navigate to the next tab called Define your purpose
In the name your agent field, set a clear and descriptive name for your AI agent.
Write a description clarifying the agent's role and capabilities.
Select your preferred model
Visibility levels explained
Personal Visibility (Only you):
Select "Only you" radio button
Best for: Testing agent ideas, personal productivity, confidential data, experimental prompts
Workspace Visibility (Anyone in workspace):
Select "Anyone in [workspace name]" radio button
Best for: Team collaboration, shared department tools, project-specific agents
Organization Visibility (Anyone in organization):
Select "Anyone in [organization name]" radio button
Best for: Company-wide standards, executive assistants, cross-department resources
Requires: Organization-level permissions (verify you have access)
Result: The visibility level is selected and will be applied when agent is created.
Complete Agent Creation
Finalize and Create
Configure remaining settings
Add instructions for agent behavior
Connect datastores (if needed)
Enable tools (web search, code interpreter, etc.)
Set conversation starters (optional)
Review visibility setting
Double-check your visibility selection
Remember: This cannot be changed after creation
Create agent
Scroll to bottom of form
Click "Create" button
Result: The agent is created with your selected visibility level permanently set.
Note: To find more information on agent creation, refer to this article
What to Do If You Selected Wrong Visibility
Recreate Agent with Correct Settings
Identify the incorrectly created agent
Note name and full configuration
Delete the agent (if needed)
Click three-dot menu (⋯) next to agent
Select "Delete Agent"
Confirm deletion
Recreate agent with correct visibility
Follow the above sections of this guide
Select appropriate visibility radio button
Use same name and settings as original
Result: A new agent exists with correct visibility level.
Alternative: Keep both agents if original already has value, but clearly name them to indicate visibility difference (e.g., "Agent Name - Personal" vs. "Agent Name - Shared").
Best Practices for Choosing Visibility
Think before sharing - Consider data sensitivity, API keys, and output confidentiality
Document use case - Write clear description before creating to inform visibility choice
Test with sample data - Ensure agent works correctly before workspace/organization exposure
Review connected tools - Verify no personal credentials in tools before sharing
Consider team size - Workspace visibility = all members can clone and modify their copy
Plan for permanence - Remember: visibility decision is permanent at creation
Version naming - If creating multiple visibility versions, use naming convention:
"Agent Name" (personal)
"Agent Name - Team" (workspace)
"Agent Name - Company" (organization)
Visibility Impact on Agent Features
How Visibility Affects Agent Usage
Personal Agents:
Only you can discover in agent search
Only you can start chat sessions
Only you can edit or delete
Hidden from "Shared with me" and category lists for others
Workspace Agents:
Appears in "All" for all workspace members
All members can start chat sessions
Only you (and editors) can edit original; others can clone
Appears in workspace agent gallery
Organization Agents:
Appears across all workspaces in organization
All org members can start chat sessions
Requires admin permissions to create
Appears in organization-wide agent directory
Security Considerations
Data Protection by Visibility Level
Before selecting Workspace or Organization:
Review agent outputs - Ensure it doesn't expose sensitive data
Check tool configuration - Remove personal API keys or credentials
Test with confidential data - Verify agent doesn't leak data in responses
Result: You maintain security while enabling appropriate collaboration.
Common Questions
Q: Can I change visibility after creating an agent?
A: No. Visibility is permanent after creation. You must recreate the agent with the desired visibility level.
Q: What's the difference between "Only you" and "Private"?
A: "Only you" is the Personal visibility setting. It makes the agent accessible only to your account.
Q: If I create a Workspace agent, can others edit my original?
A: No. Others can use your agent, but only you can edit it.
Q: Why don't I see the Organization visibility option?
A: You lack organization-level permissions. Only workspace owners or organization admins can create Organization-visible agents.
Q: Can I restrict who in the workspace can see my agent?
A: No. Workspace visibility shares with ALL workspace members. For selective sharing, keep agent Personal and share direct chat links with specific individuals.
Q: Does visibility affect agent performance or capabilities?
A: No. Visibility only controls access. All agents have the same tools, models, and capabilities regardless of visibility level.
Q: Can workspace members see my chat conversations with a shared agent?
A: No. Chat conversations are private to each user. Only you can see your chat history, even with shared agents.
