Overview

This article covers the Google Workspace quick-connect flow that starts inside TeamAI. Connect and manage the integration from Tools > Quick Tools in the left sidebar. That path is the same whether Advanced Mode is on or off.

After Google Workspace is connected, you can turn it on or off during a chat from the right panel when Advanced Mode is active. The right panel does not connect or configure tools. It only toggles tools that are already set up.

You can connect Google services such as Gmail, Calendar, and Drive for use inside TeamAI.

Important: The Tools link in the left sidebar is always available. Advanced Mode only adds the right panel for toggling connected tools during chat. It does not change where you connect integrations.

Prerequisites

You'll need:

- Access to your workspace

- Permission to create or manage tools in the workspace

- A Google account you want to connect

Connect Google Workspace with Quick Connect

Open the Google Workspace quick-connect card

1. Navigate to Tools in the left sidebar (available in Standard Mode and Advanced Mode).

2. Confirm the page header shows Tools.

3. Look for the Quick Tools section near the top of the page.

4. Locate the Google Workspace card in the Quick Tools section.

- The card label is Google Workspace.

- The description may read: `Connect Gmail, Calendar, Drive, and more.`

5. Click Connect on the Google Workspace card.

- TeamAI redirects you to the Google Workspace connection flow.

- If the card already shows Connected, click Manage instead.

Complete the Google Workspace connection flow

1. Follow the Google sign-in and authorization prompts.

2. Finish the connection flow.

3. Wait while TeamAI completes the setup and returns you to the Tools area.

Result: Your Google Workspace account is connected to your user account in the workspace.

Tip: If the connection succeeds, TeamAI shows a success state before returning you to Tools.

Note: This connection is user-specific. Another member of the same workspace may need to connect their own Google Workspace account separately.

Important: Each user can have one Google Workspace quick connection per workspace. If you need to connect a different account, disconnect the current one first.

Verify the Connection

1. Return to Tools > Quick Tools.

2. Confirm the Google Workspace card now shows Connected.

3. Click Manage to open the connected tool details.

4. If needed, test the connected Google Workspace tool with a small, non-production use case before relying on it for live work.

Result: You have confirmed the connection is active and ready to use.

Use Google Workspace in chat (Advanced Mode)

After Google Workspace shows Connected on the Tools page, use the right panel to include it in a conversation.

1. Turn on Advanced mode using the toggle at the bottom of the left sidebar.

2. Confirm the right panel is visible on your chat page.

3. Open Chat Controls in the right panel (default tab when Advanced Mode is active).

4. Under Tools, search for Google Workspace or find it in the tool list.

5. Toggle Google Workspace on for this conversation. Toggle it off when you do not want the model to use it.

Result: Google Workspace is active for the current chat.

Important: You cannot connect Google Workspace from the right panel. If Google Workspace does not appear in the tool list, connect it first from Tools > Quick Tools.

Tip: In Standard Mode (Advanced Mode off), the right panel is hidden. You can still connect and manage Google Workspace from Tools in the left sidebar.

Best Practices

- Connect once from Tools > Quick Tools. Toggle per chat from the Advanced Mode right panel.

- Test before production use: Run a small test so you can confirm the connection behaves as expected.

- Review the existing connection before reconnecting: If the card already shows Connected, use Manage first.

- Keep ownership in mind: Because the connection is user-specific, each workspace member should connect and verify their own access.

- Reconnect carefully: If you want to switch Google accounts, disconnect the current connection first from Tools > Quick Tools.

Q: Can I connect Google Workspace from the right panel?
A: No. The right panel only turns already-connected tools on or off for the current chat. Connect, disconnect, and Manage always happen on the Tools page.

Q: How do I use Google Workspace in a chat after connecting?
A: Turn on Advanced Mode (toggle at the bottom of the left sidebar). In the chat, open the right panel → Chat ControlsTools, then toggle Google Workspace on. Toggle it off when you do not want the model to use it. The right panel cannot connect Google Workspace for you.

Q: How do I connect Google Workspace to TeamAI?

A: Go to Tools > Quick Tools, click Connect on the Google Workspace card, and complete the Google authorization flow. Advanced Mode is not required to connect.

A: Advanced Mode does not change the connect steps. Use Tools > Quick Tools and click Connect. After the card shows Connected, turn Google Workspace on or off during a chat from the right panel tool toggles under Chat Controls.
